Terms & Conditions

Children’s Fitness Class – Terms & Conditions

These Terms & Conditions apply to all children attending our fitness classes. By booking a place, parents/carers confirm that they have read, understood and agreed to the following.

1. Booking & Payment

• Classes are booked and paid for as a term of sessions.

• A child’s place is confirmed once payment has been received.

• Places are subject to availability and are not guaranteed until payment has been made.

• Term fees are payable in full unless an alternative payment arrangement has been agreed in advance.

• Missed sessions cannot normally be transferred, refunded or carried over to another term.

• If a session is cancelled by us, we will provide an alternative arrangement where reasonably possible.

2. Qualified Coaches & Supervision

• Sessions are delivered by qualified coaches who are responsible for supervising the children during the class.

• Parents/carers do not remain in the session unless specifically requested or agreed by the coach.

• Parents/carers must ensure that the information provided at registration, including emergency contact details and medical information, is accurate and kept up to date.

• Children must follow the reasonable instructions of the coaches at all times.

3. Behaviour & Respect

We want our classes to be fun, safe and welcoming for everyone.

Children are expected to:

• Listen to and follow the coaches’ instructions.

• Treat coaches and other children with respect.

• Behave appropriately and safely.

• Avoid behaviour that could put themselves or others at risk.

• Use equipment responsibly.

• Not bully, intimidate, threaten or deliberately hurt another child or member of staff.

If a child’s behaviour is repeatedly disruptive, aggressive, unsafe or prevents other children from participating, we may contact the parent/carer. In serious or ongoing circumstances, we reserve the right to ask a child to leave the class and/or refuse future bookings.

4. Health, Fitness & Medical Information

Parents/carers must inform us of any medical condition, injury, allergy, additional need or other relevant information that may affect their child’s participation.

Children should only attend if they are well enough to safely take part in physical activity.

Please do not send your child to class if they are unwell or have an illness that could reasonably be passed to other children or coaches.

Parents/carers are responsible for informing us of any changes to their child’s health or circumstances.

5. Arrival & Collection

Parents/carers are responsible for ensuring their child arrives at the agreed location safely and on time.

Unless written permission has been provided for a child to leave independently, children must be collected promptly by a parent/carer or another adult authorised by the parent/carer.

Coaches cannot be responsible for children once they have been collected or have left the designated class area.

6. Permission to Walk Home Independently

For children of secondary-school age, parents/carers may give written consent for their child to leave the session independently and walk home.

By providing this consent, the parent/carer confirms that:

• They believe their child is sufficiently mature and responsible to travel home independently.

• They understand that the coach’s responsibility for the child ends when the child leaves the class/session.

• They accept responsibility for their child’s journey home once the child has left the session.

• They will ensure the coach is informed if this permission changes or is withdrawn.

• They understand that the coach cannot supervise or accompany the child on their journey home.

7. Emergency Contact

Parents/carers must provide at least one reliable emergency contact number and ensure that someone is available to respond if they are contacted during a session.

In an emergency, we will take reasonable steps to contact the parent/carer or emergency contact and, where necessary, seek appropriate medical assistance.

8. Equipment & Clothing

Children should attend wearing suitable, comfortable sports clothing and appropriate footwear.

Any personal belongings brought to the session are the child’s responsibility. We cannot accept responsibility for lost or damaged personal items.

9. Safeguarding

Our instructors have been DBS checked.

The safety and wellbeing of children attending our sessions is our priority.

All coaches will follow our safeguarding procedures and any concerns relating to a child’s welfare will be dealt with in accordance with our safeguarding policy.

Parents/carers should raise any safeguarding concerns with the class provider as soon as possible.

10. Changes to Sessions

We reserve the right to make reasonable changes to coaches, session times, locations or activities where necessary. We will provide parents/carers with as much notice as reasonably possible of any significant changes.

11. Acceptance of Terms

By booking a place on the children’s fitness programme, the parent/carer confirms that:

• They have read and agreed to these Terms & Conditions.

• The information provided about their child is accurate and complete.

• They understand that the sessions are delivered by qualified coaches without parents/carers present.

• They understand the expectations regarding their child’s behaviour.

• They agree to inform us of any relevant changes to their child’s health or circumstances.

• Where applicable, they have completed the separate consent for their secondary-age child to leave the session and walk home independently.
